Trip reservations with Scandinavian Travel are subject to the Terms and Conditions outlined below.

Reservations & Payments

Deposit and full payment terms are outlined on your invoice/agreement. Payments can be made by check or money order (issued in USD) payable to Scandinavian Travel,  P.O. Box 1376, Edgewater, MD 21037. Credit card payments are accepted (Visa, MasterCard, Discover or American Express). Payment of the deposit in full is required to confirm a reservation. In the event that the balance is not paid by the due date, Scandinavian Travel reserves the right to cancel the reservation and a cancellation fee will be applicable.

Special event tickets may require full payment at time of booking, as space at these events is subject to availability at the time of booking.

Certain service providers used on our trips (most notably certain cruise ships) may charge their fees directly to your credit card.  Though payment processing is in U.S. dollars, some of their credit card companies may charge a foreign transaction fee. 

Cancellation Fees

Trips canceled after a client has tendered its final payment as defined by the Scandinavian Travel Agreement for Travel Services are subject to a cancellation fee of 100% of the trip price (unless otherwise stated). Airline tickets, special event tickets and gift certificates are 100% non-refundable whether or not final payment has been made. 

When you cancel a trip, you must notify us in writing. The post-mark or date stamp will be considered the valid date of cancellation. Exceptions to the notification policy cannot be made for any reason.

Credit Cards

Your authorization to use your credit card number for payment indicates your agreement with our booking Terms and Conditions. For trips booked through travel agencies, a letter of confirmation signed by the cardholder authorizing the use of the credit card without a signature must be kept on file by Scandinavian Travel. In the event that a cardholder refuses to honor a charge, the travel agency will be held responsible for the full payment.

Prices

Due to fluctuations in exchange rates, political conditions in countries being visited, and other occurrences beyond Scandinavian Travel’s control, prices are subject to change without prior notice. If the total price of the travel services is increased more than 7%, you have the right to cancel the reservation and obtain a full refund. 

Other Changes

Changes to reservations made after confirmation are subject to a fee of $50 per person per change until 60 days prior to departure plus any fees levied by hotels or other suppliers. Thereafter and until 31 days prior to departure, the fee is $100 per person per change plus any fees levied by hotels or other suppliers. No changes are permitted 30 days or less prior to departure. Special requests are not guaranteed to be available.

Documentation/Proof of Citizenship

It’s your responsibility to ensure that you have the required documents for entry to the destination. In the event that you are denied entry for any reason, no refund for unused services will be considered. A passport must have a validity date of 6 months after your scheduled return date. Names on airline tickets must appear exactly as shown on passport.

Visas

U.S. citizens do not currently need a visa in order to visit the Scandinavian countries or the Baltics. A visa is required for travel to Russia. Make sure you check with each country’s consulate to ensure that there are no changes to these rules. Non-U.S. citizens must check with their consulate about visa requirements to all countries listed on their itinerary.  It is your responsibility to check visa requirements. You are responsible for any/all loss or damages resulting from improper passports, visa, or other personal documents. It is advisable to check with the relative consulates if you have any questions or concerns.

Air Transportation

Scandinavian Travel is not responsible for unforeseen flight delays or schedule changes imposed by an airline. Airline schedules may be subject to change at the discretion of the airline. Any cancellations or changes made to airlines reservations are subject to any cancellation penalties imposed by the airline.

Lost/damaged baggage is the responsibility of the airline and not Scandinavian Travel.  Scandinavian Travel is not responsible for excess baggage charges.

Unused Services

Unused services are non-refundable and non-transferable.

Medical and Trip Cancellation Insurance

Scandinavian Travel does not employ medical personnel. Any medical attention you require while traveling with Scandinavian Travel must be sought through a local medical facility. All related charges are at your expense. Scandinavian Travel cannot guarantee the availability of medical facilities or for the quality of the care or services.

The purchase of medical and trip cancellation/interruption insurance is strongly recommended.  Scandinavian Travel can send you a quote from our travel insurance partner.

Modifications to Travel Services

Scandinavian Travel reserves the right to make any changes to your tour, including changes to hotel accommodations, transportation, special events and the schedule with or without notice. If changes are required, substitutions will be of similar quality standard.

Cancellation by Scandinavian Travel

Scandinavian Travel reserves the right to cancel any reservation at any time prior to full payment. In the event of cancellation, our liability will be limited to a full refund of all payments made to Scandinavian Travel.

Local Conditions

Local conditions may differ from those in your home country. Scandinavian Travel cannot be held responsible for any sickness or inconvenience arising as a result of the different living standards.

Website and Brochure Accuracy

Scandinavian Travel is not responsible for factors beyond our control which alter the accommodations, trains, flights or activities purchased. All photographs in any brochure and/or website are purely representational and are not a guarantee that everything will be as depicted upon arrival at your destination.

Act of God / Force Majeure

Scandinavian Travel and/or its service providers cannot assume liability for any loss, damage or injury resulting from an Act of God or any other force majeure.

Passenger Responsibility

Scandinavian Travel and its service providers reserve the right to decline to accept any person as a member of a trip, or to require any participant to withdraw from the trip at any time when such action is determined to be in the best interests of the health, safety, and general welfare of the group or the individual participant. No refunds will be provided and the person is responsible for any transportation expenses to return home. 

Scandinavian Travel Responsibility

The liability of Scandinavian Travel, it’s parent company, shareholders, directors, employees, agents and affiliates (collectively “indemnified Parties”) for any loss, damage, or injury of any nature or kind whatsoever, arising out of its own acts, omissions or negligence, is limited to the amount paid for the vacation package. Except as set out above Scandinavian Travel will not be liable for any loss, damage or injury of any kind whatsoever to person or property. Scandinavian Travel is not liable for any third party omissions.

Claims

You agree that any claims against Scandinavian Travel shall be made in writing and received by Scandinavian Travel no later than 30 days after the event causing the claim. Claims made after 30 days will not be responded to.

Dispute Resolution

The exclusive venue for all claims, actions or proceedings against Scandinavian Travel and its parent company arising out of this contract shall be Anne Arundel County in the State of Maryland, USA and such claims, actions or proceedings shall be determined according to the laws of Maryland.

Severability

The invalidity of any provision contained here in shall not affect the validity of any other provision. Your reservation deposit indicates acceptance of the above Terms and Conditions and limits on responsibility.

Liability Limitation

Scandinavian Travel, acts only as agent for you in acquiring hotel accommodations, transportation, special event tickets and other privileges or services for your benefit, and on the express condition that Scandinavian Travel and its parent company, shall not be responsible for any loss, accident, injury, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith. Scandinavian Travel, shall not be liable for any injuries or any damage to any client or be subject to any claim, demand, injury, or damages, whatsoever, including without limitation, those damages from acts of passive or active negligence on the part of Scandinavian Travel, its officers, employees, or agents. Client does hereby expressly release and discharge Scandinavian Travel from all such claims, demands, injuries, damages, actions or causes of action. Client acknowledges that he/she has carefully read this paragraph and fully understands that this is a waiver and release of liability.
